1. Start with the deadline and governing documents
Record when the reconciliation was received, the number of days allowed to object, the required notice method, and whether payment is required while a dispute is reviewed. Use the signed lease and every amendment rather than relying on a summary or proposal.
2. Enter the landlord statement
For each category, enter the property-level expense, tenant share, and tenant amount billed. The template includes common categories such as taxes, insurance, utilities, maintenance, management fees, administration fees, capital items, and reserves.
3. Apply the lease rule and calculate the comparison
Use the Lease Rules worksheet to record the exact clause, page, exclusion, cap, share, or amortization method. Enter the property amount allowed after applying that rule. The workbook calculates the corresponding tenant charge and the difference to investigate.
4. Turn differences into document requests
A positive difference is not automatically a refund. It is a prompt to request the ledger, invoice, allocation schedule, gross-up worksheet, capital schedule, or fee calculation needed to resolve the item.
